4 reasons why enterprises should invest in Microsoft Lync training

For organizations operating on a national or global scale, maintaining a wide range of communications is essential to conducting business.

In response to this need, some leaders have enrolled their staff in Microsoft certification courses detailing the ins and outs of Lync Server.

What it is, why it’s needed

Communicating through video, IM, email or phone can be made easier with Microsoft Lync Server.
Communicating through video, IM, email or phone can be made easier with Microsoft Lync Server.

According to TechTarget, Microsoft Lync Server provides companies with an environment through which unified communications can occur. The solution integrates instant messaging Voice over Internet Protocol (VoIP) file transfer, Web conferencing, voice mail and email into a single cohesive platform.

Being able to set up security features and optimize connectivity over several branches requires a fundamental knowledge of Lync. Receiving thorough instruction and guidance on the software can help professionals achieve these end goals. Listed below are four applications named by Informit that make Lync a solid choice for corporations with intense communication needs.

1. Access and privacy settings
Administrators well versed in the program can set up permissions for individual employees based on their rank or authorizations. In addition, the amount of information as well as its character can be restricted to certain people once a connection is established. Informit acknowledged the following privacy relationships that can be defined through Lync:

  • Friends and Family: Prevents users from receiving meeting subject and location information
  • Workgroup: Does not share personal phone numbers with personnel
  • Colleagues: Gives all information save for meeting location and title, as well as professional phone numbers
  • External Contacts: Given same permission as those filed under the “Workgroup” category, but does not announce availability status
  • Blocked Contacts: Users cannot connect with others via Lync endpoints – only the person’s name and email address are given

2. Interruption management
This function relates directly to an individual’s status and security authorization. For instance, a user given a “Company” information access permission cannot correspond with a person when his or her’s presence is set to “Do Not Disturb,” but can be interrupted when an “Urgent Interruptions Only” setting is applied.

3. Multiple presence points
A feature that is sure to be favored by professionals managing several departments at once, this feature allows users to be logged in at multiple locations or endpoints simultaneously. A specific presence for each channel is published independently, meaning that a “Do Not Disturb” preference through one avenue will not be seen by those entered on another.

Although the function may initially befuddle employees, Lync sends message to open connections in which the sender’s status is “Available.” Therefore, any other channels through which the user’s presence is “Do Not Disturb” will not receive the sent mail.

4. Flexible application deployment
Essentially, if a person enters a presence through Lync, other people will see that individual’s contact in the same manner through Microsoft Outlook, Exchange or SharePoint. Therefore, someone listed as “Available” in Lync will display the same status in all three of the other solutions.

This particular function is unique because of its ability to unify other software deployments under a single umbrella. It reduces confusion and ensures communication between multiple branches can occur without annoying disruptions or misunderstandings.
