Incident Response Tabletop Exercises: How IT Managers Prepare Their Team

An incident response tabletop exercise for IT teams tests your plan before a real attack tests it for you. You gather your people, walk through a realistic scenario, and find the gaps while the stakes stay low. As an IT manager, you run this exercise to learn who does what, who decides what, and where your team needs training.

Ultimate IT Courses trains IT teams across Canada in practical, lab-based security skills. Book a team training consultation and we will map training to the gaps your exercise exposes.

What a Tabletop Exercise Is

A tabletop exercise is a discussion-based drill. Nobody touches a live system. You present a scenario, such as ransomware on a file server, and each person explains what they would do next.

The format is simple. A facilitator reads a series of updates. The team responds to each one. A note-taker records every decision, delay, and point of confusion.

The National Institute of Standards and Technology describes this approach in NIST SP 800-84, its guide to testing, training, and exercise programs. Use it as your reference for structure.

Why IT Managers Should Run One

A written response plan feels reassuring until you read it under pressure. Contact lists go stale. Roles overlap. Two people assume the other one will call the vendor.

A tabletop exercise exposes these problems in two hours. It also shows you which skills your team lacks. If nobody knows how to preserve log evidence, you have found a training need. You did not need a breach to find it.

Who Should Be in the Room

Invite the people who act during an incident. Do not limit the list to your security staff.

  • Your help desk, system, network, and security staff
  • A leader with authority to approve decisions and spending
  • Representatives from legal, communications, and human resources

Mixed groups produce better findings. Technical staff learn how long a legal review takes. Executives learn what a containment decision costs the business.

How to Build a Realistic Scenario

Base your scenario on a threat your organization faces. Phishing, stolen credentials, and ransomware suit most Canadian organizations. Keep the story short and specific.

Plan five or six injects, which are timed updates you hand to the team. For example:

At 9:05, a user reports a strange pop-up. At 9:40, the file server slows down. At 10:15, a ransom note appears. At 11:00, a customer calls to ask why your website is offline.

Each inject forces a decision. Do you isolate the server? Do you notify your insurer? Who speaks to the customer? The CISA Tabletop Exercise Packages give you free scenarios and facilitator guides to adapt.

Run the Session

Set the ground rules first. Tell everyone the exercise is not a test of individuals. You are testing the plan and the process.

Keep the session to two hours. Ask open questions. Who makes this call? Where is the document stored? What do we do if the person responsible is on leave? Let silence work. Gaps appear when people hesitate.

Turn Findings Into Training

The exercise only pays off when you act on the results. Within a week, write a short report. List each gap, assign an owner, and set a due date.

Sort the gaps into three groups. Process gaps need a revised plan. Tooling gaps need a budget request. Skill gaps need training.

Skill gaps usually point to a few areas. Your team needs to detect threats, contain them, and recover systems. Our cybersecurity training covers incident handling with hands-on labs. Staff who need a solid foundation benefit from CompTIA Security+ and CySA+ training. You see every option in the full certification catalogue.

Repeat the Exercise

Run a tabletop exercise at least once a year. Change the scenario each time. Add a new role, such as your cloud administrator, after a migration. Compare results from one session to the next. Fewer gaps and faster decisions show real progress.

Where Ultimate IT Courses Fits In

Small classes, live lab systems, and instructors with field experience help your team turn exercise findings into skills. We deliver training in virtual and in-person formats for teams of any size. Book a team training consultation and bring your exercise report with you.
