Excel XLOOKUP for Office Professionals: Replace VLOOKUP

Excel XLOOKUP for office professionals replaces VLOOKUP with a simpler and safer way to pull data from one table into another. You write a shorter formula, you break fewer reports, and you stop counting columns by hand. This guide shows you how XLOOKUP works, where it beats VLOOKUP, and how to start using it this week.

Want hands-on practice with an instructor? Enroll in a Microsoft desktop training course and build these skills on your own files.

What XLOOKUP Does

XLOOKUP finds a value in one column and returns the matching value from another column. You use lookups all the time, even if you do not call them by name. You match an employee ID to a name. You match a product code to a price. You match an invoice number to a customer.

Microsoft describes the function in its guide to the XLOOKUP function. It replaces VLOOKUP, HLOOKUP, and most uses of INDEX and MATCH.

Why VLOOKUP Falls Short

VLOOKUP has served office teams for decades. It also has three weaknesses you have likely felt.

First, VLOOKUP only looks to the right. The value you search for must sit in the first column of your range. Second, you type a column number. Insert a new column, and your formula returns the wrong data without any warning. Third, VLOOKUP defaults to an approximate match, so a missing code returns a wrong answer instead of an error.

XLOOKUP fixes all three. Review the older VLOOKUP function page and you see how many rules you must remember.

The XLOOKUP Formula in Plain Words

The basic formula takes three parts.

=XLOOKUP(lookup_value, lookup_array, return_array)

The first part is the value you want to find. The second part is the column to search. The third part is the column to return. You point at the two columns directly, so you never count anything.

Example: Pull Prices Into an Order List

Say your order list holds product codes in column A. Your price list sits on another sheet, with codes in column A and prices in column C. In cell B2 of your order list, type:

=XLOOKUP(A2, Prices!A:A, Prices!C:C)

Press Enter and fill the formula down. Each row now shows the right price. Insert a column in the price list tomorrow and the formula still works, because it points at columns and not at a number.

Look Left Without Tricks

Your price list might hold the product name in column C and the code in column D. VLOOKUP fails to search column D and return column C. XLOOKUP does it with no extra work. You choose any search column and any return column, in any order.

Handle Missing Values Cleanly

Every lookup eventually meets a code with no match. XLOOKUP gives you a fourth part for this moment.

=XLOOKUP(A2, Prices!A:A, Prices!C:C, "Not found")

Your sheet now shows a clear message instead of an error code. Use this to flag gaps in your data before a manager spots them in a report.

Return Several Columns at Once

Point the return range at more than one column and XLOOKUP returns all of them. Type =XLOOKUP(A2, Staff!A:A, Staff!B:D) and you get a name, a department, and a start date in three cells from one formula. Excel fills the neighbouring cells for you. Keep those cells empty, or Excel shows a spill error.

Match Tiers and Ranges

Some lookups need the closest value, not an exact one. Think of commission tiers or shipping rates by weight. Set the fifth part of the formula to -1 to return the next smaller value. Set it to 1 to return the next larger value. Sort order does not matter, which removes another VLOOKUP headache.

Check Your Excel Version

XLOOKUP works in Microsoft 365, Excel 2021, and Excel 2024. It does not work in Excel 2019 or earlier. If you share files with colleagues on older versions, they see errors in your formulas. Confirm versions across your team before you convert shared workbooks.

Common Mistakes to Avoid

  • Selecting ranges of different sizes, which returns a value error
  • Leaving extra spaces or mixed text and number formats in your codes
  • Blocking the spill area with data in neighbouring cells

Clean your codes first. Use the TRIM function to remove stray spaces. Then check whether both columns store numbers the same way.

Build the Habit in One Week

Pick one report you update each week. Replace its VLOOKUP formulas with XLOOKUP on day one, starting with the simplest lookup. Add a “Not found” message on day two. Try a multi-column return on day three. By Friday, you finish the report faster and trust the numbers more. Then pair this skill with PivotTables to summarize the data you pulled together.
