How to Run an IT Skills Gap Assessment for Your Team

When your IT team is stretched thin and requests keep piling up, the problem often is not headcount. It is that the wrong skills are in the room for the work at hand. An IT skills gap assessment tells you exactly where your team is strong, where it is exposed, and what training fills the distance between the two.

What a Skills Gap Assessment Actually Is

A skills gap assessment is a structured review of the technical skills your team currently has against the skills your organization needs. It is not a performance review. It is a planning tool.

You measure what you have, compare it to what your roles require, and identify the distance between the two. The output is not a pass/fail result. It is a prioritized list of skill areas to address through hiring, training, or restructuring responsibilities.

Why IT Teams Need One Now

IT roles have expanded significantly over the past few years. Cloud infrastructure, identity management, cybersecurity compliance, and automation have all moved from specialized functions to baseline expectations across many IT positions.

According to the Government of Canada Job Bank, demand for cybersecurity analysts, cloud administrators, and network engineers continues to grow year over year. If your team’s skills are not keeping pace, your organization carries both operational and security risk.

The World Economic Forum’s Future of Jobs Report 2025 identifies technology literacy and data skills as among the fastest-growing requirements for technical roles. The gap between current capabilities and what the market now expects is widening in organizations that are not actively investing in training.

Get a personalized plan for your team — book a team training consultation at Ultimate IT Courses.

How to Structure the Assessment

Start with your current roles. List every position on your IT team and the core technical responsibilities attached to each one. Then define the skills required to perform those responsibilities at a competent level.

Next, assess your team through a combination of self-assessment, manager observation, and skills testing where appropriate. You are not looking for perfection. You are looking for patterns — which skill areas come up repeatedly as gaps across multiple team members.

Group the results into three tiers:

  • High priority: gaps tied to active projects or compliance requirements
  • Medium priority: gaps tied to upcoming work or planned role growth
  • Low priority: skills worth building over time but not blocking current work

That grouping drives your training decisions.

Mapping Gaps to Training Options

Once you have your priority list, match each skill gap to a training option.

Some gaps are vendor-specific. An administrator who needs to get up to speed on Microsoft Azure, Entra ID, or Microsoft 365 administration will benefit from structured certification training through the Microsoft courses at Ultimate IT Courses.

Other gaps are broader. Cybersecurity fundamentals, compliance awareness, or incident response procedures often require team-wide training rather than individual self-study. A structured program through the cybersecurity courses at Ultimate IT Courses gives everyone a shared baseline and a measurable outcome.

Instructor-led training — whether virtual or in-person — gives your team a defined timeline and a concrete result: a certification or a demonstrated skill competency. That is far easier to track and report on than asking team members to work through online modules on their own schedule.

Building a Training Plan From Your Results

A skills gap assessment is only useful if it leads to action. Once you have your priority gaps and training options matched, build a quarterly training plan.

Assign one or two people to each priority skill area. Set a target date. Choose a training format that fits your team’s availability. Review progress at the end of each quarter and run a lighter version of the assessment annually to keep the picture current.

If your team has several gaps across multiple areas, start with the ones tied to security and compliance. Those carry the highest operational and regulatory risk if left unaddressed.

What to Do Next

Running an IT skills gap assessment does not require a formal HR process or expensive software. You need a clear picture of your current roles, an honest look at the skills your team actually has, and a prioritized list of gaps. From there, the training plan writes itself.

The organizations that stay ahead of skill gaps are the ones reviewing them on a schedule — not in response to a crisis. Start with what you have, and build from there.

If you want help mapping your team’s skill gaps to a structured training program, book a team training consultation with Ultimate IT Courses. We work with IT managers across Canada to build certification-aligned training plans that fit your team’s schedule and budget.
